Essential setup with one optional review

Complete Company, Pay Groups, Employees, Users and—when used—Schedule before the team begins clocking. Pay Types normally require no changes. Tick each section as you review it; progress is stored in this browser.

Company

Start with accurate company details

Go to Company in the left navigation. These details control how dates, pay periods and operational settings behave across EasyClock.

  1. Confirm the company identityCheck Company code, Legal name and Trading name.
  2. Set the region and timezoneSelect New Zealand and the timezone where the company operates.
  3. Choose the start of the weekWeek starts on is usually Monday; add contact details if required.
  4. Save the profileSelect Save profile. Use Feature controls below it to turn modules on or off.

Check the timezone firstTimezone affects schedule display, punch times and day boundaries. Confirm it before your team starts clocking.

Pay Group

Define pay cycles and attendance rules

Expand Settings in the left navigation and choose Pay groups. Every employee should be assigned to the group that matches their pay cycle and working rules.

  1. Create a pay groupEnter a Code and Name, select the Timezone, then choose Weekly, Fortnightly, Monthly or Custom.
  2. Set the cycle anchorAnchor date determines where the cycle begins. Standard day holds the usual daily hours.
  3. Configure break rulesUse Breaks to choose no calculation, automatic deduction or clocked breaks.
  4. Review policiesSet clocking grace, overnight work, exceptions, leave and overtime behaviour.
Begin with the common caseStart with one pay group for your typical employee, then add separate groups only where contracts or pay cycles differ.

Pay Types · Optional

Review the supplied payroll components

Most companies do not need to change anything on this page. EasyClock automatically supplies the standard Regular, Overtime, Leave, Public Holiday and Allowance types, and ordinary punch time is allocated to the active Normal Time (NT) type when no special policy applies.

  1. Use the defaults when they fitNo Pay Type action is required for a standard setup. System types are created and maintained automatically.
  2. Add a custom type only when neededCreate one for a company-specific earning, leave component or allowance, then choose its category, paid status and rate factor.
  3. Select types for special rulesOvertime needs Regular and Overtime types when enabled. Leave requests and shift allowances select a suitable active type.
  4. Configure export mappings separatelyOpen Company → Payroll export settings. System types follow format defaults; custom types need a mapping before payroll export.

Review, do not modify by defaultThe normal action is to leave the supplied catalogue unchanged. Add or edit a type only for a confirmed policy or payroll requirement; export codes now belong to the selected format in Company settings.

Employees

Create a complete employee record

Open Employees from the left navigation. Employee records hold personal details, working hours, department and Pay Group assignment. They are separate from login accounts.

  1. Add the employeeSelect Add employee and enter the employee number, legal name and optional preferred name.
  2. Set working hoursEnter daily, weekly and—when relevant—guaranteed weekly hours.
  3. Assign Pay Group and departmentSelect the correct Pay Group, organisation unit and effective date.
  4. Maintain changes with historyUse Edit for details, Move for department transfers and History to review effective-dated changes.
Employee and user are differentAn employee is the workforce record used for time and schedules. Create a User separately only when that person needs to sign in.

Users

Give each person only the access they need

Open Users from the left navigation. A User is a login account that can be linked to an employee, assigned roles and limited to the right part of the organisation.

  1. Create the loginSelect Add user, enter the email address and a temporary password.
  2. Choose the initial roleUse Employee, Manager or Admin as the starting access level.
  3. Link the right recordEmployee access requires an employee link; Manager access requires an organisation unit.
  4. Refine accessUse Access to adjust roles and choose Entire company, Organization unit or Self only data scope.

Use the smallest practical scopeGive managers access to their organisation unit rather than the entire company unless broader access is genuinely required.

Schedule

Build a week quickly with reusable shifts

Open Schedule from the left navigation. Create a schedule period first, then use shift templates to place regular working times onto the employee board.

  1. Create a schedule periodSelect New schedule and enter its name, organisation scope, start date and end date.
  2. Create shift templatesSet a template name, timezone, start and finish. Mark Crosses midnight for overnight shifts.
  3. Add employee shiftsSelect an empty date cell, or drag a template onto the employee and date. Save, then adjust as needed.
  4. Review and publishCheck employees, sites and times, then Publish. Published shifts become read-only.
Review before publishingCheck overnight shifts, site assignments and organisation scope. If a published schedule needs changes, use Return to draft first.
